Terms and Conditions

  1. These terms and conditions apply to Bristol Academy of Drama (Herewith called BAD) classes given to students, applied for and consented to by the parent/guardian/student (referred to hereinafter as "student"). Changes to these terms and conditions require the written consent of BAD.

  2. Written confirmation from BAD confirming that a student has been allocated a place establishes a contract and acceptance of that place is on the understanding that the parent/guardian/student agrees to these terms and conditions. 
    Methods of Payment
    *Via LoveAdmin/JoinIn sign up system who use PayPal as their finance partner for secure payments. (Please read the FAQs sent with your sign up email)     
    *Cash is not accepted

  3. Class times, fees and methods of payment will be provided via e-mail prior to commencement of attendance and payment of such

  4. Prompt payments for classes are essential to the effective running of our weekly sessions and are paid monthly according to the number of sessions in that month
    a) Class payments are made on the 1st of the month once signed up for the classes
    b) If joining mid-month, these will be paid at the time of booking and then on the 1st of the month going forward.
    c) For trial/taster payments, these will be paid at the time of booking and must be made before a student can attend a trial/taster
    d) If payment is not received on 1st of the month, BAD reserves the right to ask the student to not attend until monthly fee is received and brought up to date.
    e) BAD reserves the right to charge an admin fee for any late payment. This will be charged at £1 for every day that the payment is overdue.
    f) BAD reserves the right to offer an unpaid place (should there be failure to pay or contact BAD about payment, by the due date) to someone on the waiting list and thus forfeiting the place.

  5. Membership fee payments (where applicable) are mandatory and cover the cost

    of performances thought the year (see point 9).

    a) Payments are made at the time of booking

    b) Payments are non-refundable.

    c) BAD reserves the right to change the benefits received under the membership

    fee and any changes will be given with at least 2 months’ notice.

  6. Classes take place once a week during term time and students are expected to

    be present each week.
    a) Term dates will be available on the BAD website a year ahead to be sure that dates can be placed in diaries.
    b) Any absenteeism is required to be notified prior to the student being absent from the class.
    c) No refund will be provided for non-attendance in class.

  7. When a performance is planned, students are expected to prioritise rehearsals

    and avoid any absences during the general rehearsal

    a) Dates of these classes are given in good time and should be honoured

    wherever possible

    b) Failure to attend the rehearsals on a regular basis (i.e. missing regular

    sessions in that period) could mean that a student is not able to be in the

    production or may have to change the role they are originally cast in, to a

    smaller role.

  8. Attendance on Show Day – dates of show day are advised with at least 9 months’

    notice.

    a) Students must not only attend for the performance but must also attend the

    technical and dress rehearsals earlier in the day. Times etc will be informed

    at least 6 months ahead of show day.

    b) Failure to attend a technical/dress rehearsal could result in a student being

    unable to be part of the performance.

  9. Performance charge for Shows and Showcases

    (Children only) An additional charge, per student, to cover costume and theatre

    hire, staffing etc is paid at the point of formally enrolling into a class (not at the

    point of signing up for a taster session).

    a) This will be paid as part of the Membership Fee (see point 5).

    b) The cost of performances are calculated each year and applied each

    September and will depend on the cost of the hire of a venue and the costs of

    set, costumes etc.

    c) Notification of this will be made at least 2 months before the start of a new

    academic year.

    d) This guarantees the student a role in our upcoming show together with all the

    benefit associated with the membership fee which can be found here

    e) If a student signs up to classes after our annual show has taken place for that

    year, then a nominal membership fee will be charged to manage the

    administration of signing up to the classes.

  10. Performance Charge – adults only

    If a performance or event is intended as part of the plans for a year, then notification is provided before casting and rehearsals begin to give students the option of whether they wish to be involved or not. This is an additional charge which pays for the theatre hire, costumes etc and is mandatory should you wish to be involved. The fee will be collected from a student via our Love Admin database on a date that is set and confirmed in good time.
    a) Failure to pay the performance fee means that a student is unable to perform in a show or showcase.

  11. Fees are reviewed annually and take effect each September. BAD reserves the

    right to alter fees as and when necessary. Parents/students will be informed, at

    least 2 months in advance, of any fee increases.

  12. Trial/Taster Sessions: Any trial/taster session is subject to availability and must

    be paid in advance. Attendance on a trial does not guarantee a place at Bristol

    Academy of Drama.

    a) Only 2 tasters can be booked for any one class. Any attendance, in that

    class, after the 2 after the taster will require enrolment and signing up to our monthly subscription service
    b) If a student signs up for a paid taster session/s, all terms and conditions, as stated in this document, will apply e.g. if you pay for a trial but fail to turn up or are unable to attend, then no refund can be made or if you cannot attend that class no guarantee can be made that the cost can be carried over to the next class.

  13. Those participating in BAD classes are required to obey the rules and conditions

    of Bristol Academy of Drama as outlined in the behaviour policy, a copy of which

    is available on the BAD website here.

    a) Failure to do so could result in a student being asked to leave.

    b) BAD takes no responsibility for students who injure themselves due to failure

    to adhere to the rules or failing to listen to the instructions of a member of

    BAD staff

  14. BAD reserves the right to exclude students from lessons at its discretion.

  15. BAD reserves the right to make changes to the timetable 

  16. BAD reserves the right to make changes to the teaching staff.

  17. All parents/guardians/students must create a JoinIn account and provide full details of the attendee, including emergency contact details and any health/medical conditions (see point 19) and complete the necessary consent so that staff can be made aware, prior to the student participating in BAD classes.

  18. All parents/guardians/student must keep BAD up to date with any changes to

    personal details, especially contact details plus info such as medical conditions (see point. This must be done via the JoinIn account which will automatically notify BAD office staff.

  19. Students/Parents are obliged (when registering via our Love Admin/JoinIn

    system) to inform BAD and its staff of any existing injuries or medical conditions.

    a) Students/Parents must ensure that should BAD be notified of injury or medical

    condition then details must be provided in full. Failure to advise in a detailed

    manner or omit key information then BAD can take no responsibility if an

    issue arises as a consequence of this condition as they have not been made

    aware of the full situation/outcomes or accommodations needed.

    b) Following sign up on our system, should parents/students become aware of

    injuries or medical conditions, previously not notified, then details must be

    updated on both BAD’s LoveAdmin/JoinIn system and via email in line with

    point 19a. Failure to do so then 19c will apply.

    c) Failure to advise and if an issue arises as a consequence of this condition,

    then BAD can take no responsibility as they have not been made aware and

    so have not had the opportunity to make any necessary accommodations.

    d) Verbal notification of any matter that requires an accommodation or significant

    adjustment in class is not accepted as formal notification and thus point 19c

    will apply.

  20. Students are obliged to take care of their own belongings. BAD can accept no

    liability for lost or damaged belongings.

  21. Students should dress according to the requirements of the class they are

    attending as outlined in the joining instructions.

    a) BAD takes no responsibility for injuries caused by inappropriate clothing or

    footwear which go against the requirements of the class. i.e. heeled shoes

  22. The liability of BAD and that of its staff is restricted to class time only and then

    only to gross negligence.

  23. Notification of leaving

    a) termination notice can be given at any time of the term/year but is required in

    writing and should include details of the last session they will be attending.

    b) Verbal notification to staff will not be accepted.

    c) Failure to notify in writing will mean payments will continue until such time as

    written notice is received.

    d) If a student leaves mid-month, then no refund is made for the remainder of the

    sessions in that month but the next month’s payment will be cancelled and so

    no further payments will be required. (Students are welcome to attend up to

    and including the last session of any month or until the date provides subject

    to all classes being paid for in advance)
    e) Please allow at least 3 days prior to the next card payment coming out to ensure we cancel the next month’s payment in time.

  24. Should it be necessary to cancel classes on account of extreme weather

    conditions (snow, ice, flood, gale force winds etc.), epidemic/pandemic or national

    crisis, or any circumstances over which BAD have no control, fees cannot be

    returned or compensation made.

  25. (Children only) Parent/Guardian must advise the drama facilitator or office, in

    good time, if some else will be collecting a student.

  26. (Children only) Parent/Guardian must advise BAD, in advance of any class, if a

    student has permission to walk home alone. Without written notification from a

    parent (which can include adjusting consent on JoinIn account), in advance of a

    class, a child will not be allowed to walk home alone. If we cannot get hold of any

    of the contacts listed on our system, then the child will be held in class until such

    time as we can make contact. If this requires late charges to be made then these

    will be applied to the next month’s payment (see 30 (a) below).

  27. (Children only) Parents/guardians consent to the staff of BAD to take first aid or

    emergency measures as judged necessary for the care and protection of

    students while under the supervision of BAD staff.

  28. BAD has the right to refuse entry to any student who is displaying signs of

    infectious diseases e.g. chickenpox, viruses

  29. BAD has the right to refuse entry to any student who is displaying signs of

    intoxication.

  30. Parents/guardians/students agree to arrive for class in good time in order to avoid disturbing classes and (children only) to be collected promptly at the

    end of classes.

    a) (Children only) Late arrival to collect a student from class may mean that you will be charged for the facilitator’s time in 15 minute increments.
